Simple AI onboarding system based on timing, not copy
Most onboarding emails fail — not because of bad copy, but bad timing. Here’s the simple system that actually gets users to come back.

Last week, we tested AI for writing onboarding emails.
The output was solid — but writing better emails is only half the problem.
The other half? Timing.
Most SaaS founders send one welcome email on day 0 and disappear. Their users disappear too.
The fix isn't better copy. It's a system.
Here's what actually happens after signup:
Day 0 — user signs up, clicks around for 2 minutes… then leaves
Day 3 — they’ve already forgotten you
Day 7 — they don’t even remember your product exists
No single email fixes this. But the right email at the right moment can change everything.
This is what an onboarding sequence does — and today I'll show you how to build one using AI in under 3 hours.
The 3-email onboarding system
Instead of focusing on writing better emails, I built a simple onboarding system based on timing and user behavior.
The goal isn’t to send more emails — it’s to send the right message at the right moment.
Day 0 — Instant email
Send a message immediately after signup.
At this moment, the user still remembers why they signed up.
Day 2 — Reminder
If the user hasn’t taken a meaningful action, send a short reminder.
The goal isn’t to sell again — it’s to bring them back.
Day 5 — Activation email
If the user is still inactive, send a final email focused on activation.
Highlight the main benefit and show the simplest next step.
Stop when the user activates
If the user completes the key action, stop the sequence.
No need to keep sending onboarding emails.
How AI helps
AI doesn’t decide the system.
It helps generate drafts and variations faster.
Use AI to:
generate first email drafts
rewrite subject lines
test variations
But avoid using AI for:
deciding timing
designing the onboarding logic
Example emails
Here’s what these emails can look like in practice.
Day 0 — Welcome
Subject: Quick start with stackMind
Hi Jack,
You signed up a few minutes ago, so here’s the fastest way to get value from the product.
Start here:
→ Create your first project
Most users see results in under 5 minutes.
If you get stuck, just reply to this email.
Day 2 — Reminder
Subject: Still planning to try stackMind?
Hi Jack,
Looks like you haven’t set up your first project yet.
Most users get their first result in just a few minutes.

Let me know if you need help.
Day 5 — Activation email
Subject: One quick step left
Hi Jack,
Most successful users do one thing first:
They create their first project.
You can do it here in less than a minute.
Start here → https://stackmind.fyi
Once you do that, everything else becomes much easier.
Notice something important:
The emails are simple.
The timing does most of the work.
Steal this setup
Trigger
User signs up
Timeline
T+0 minutes → welcome email
T+2 days → reminder
T+5 days → activation email
Logic
if user activates → stop sequence
if user inactive → continue
You can implement this sequence in less than an hour using most email tools.
The real lesson
Most founders try to fix onboarding by writing better emails.
But the real leverage is timing.
Send the right message at the right moment — and activation improves without writing a single “perfect” email.
Start with the system.
Then improve the messages.
